Workflow

One process for planned tours and roadside emergencies

Global Coach replaces scattered WhatsApp groups and phone trees with a structured tender that both sides can trust. Here is exactly how it works — for tour operators and for bus companies.

The 5 steps everyone follows

Whether it is a 10-day Rome–Paris circuit booked months ahead or a coach breakdown at 2 a.m., the same five steps apply — only the speed changes.

1. Publish a request

The tour operator opens a request — planned tender or urgent replacement — and adds route, dates, passenger count, vehicle class and an offer deadline.

2. Instant broadcast

Registered bus companies in the relevant markets are notified instantly. Nobody has to chase quotes on WhatsApp or phone.

3. Operators submit offers

Bus companies reply with price, currency, vehicle details and availability. All offers stay private — only the buyer sees them.

4. Compare & award

The buyer reviews offers side by side — price, vehicle, ETA, rating — and awards one operator. The rest are auto-declined with one click.

5. Pay & invoice

Deposit or full payment is settled through the platform. Invoices are generated for both sides automatically.

Two sides, one platform

Tour operators publish and choose. Bus companies receive and bid. Both sides see only what is relevant to them.

For tour operators

You have a group. You need a coach.

  1. 1

Post a group in 3 minutes

Log in, choose Planned tender or Urgent replacement, fill route + dates + pax + vehicle class. No contracts to upload.

  2. 2

    Let the market compete

Verified bus companies across Europe receive your request and reply with live offers. You sit back.

  3. 3

    Review offers privately

Every offer is visible only to you. Compare price, vehicle, ETA, cancellation terms and operator rating in one view.

  4. 4

    Award the best fit

Pick the operator that fits — not always the cheapest. The winner is confirmed instantly; others are notified politely.

  5. 5

    Pay & get invoices

Settle deposit or full amount on the platform. VAT-compliant invoices are issued to both sides automatically.

Post your first group

For bus companies

You have coaches. You want bookings.

  1. 1

    Get matched requests

When a tender or emergency lands in your markets, you are notified instantly — by email and in your dashboard.

  2. 2

    Filter by your routes

See only the requests that match your coverage area, fleet and calendar. Skip the ones that don't fit — no bidding pressure.

  3. 3

    Submit a competitive offer

Reply with your price, currency, vehicle and ETA. The first relevant offer often wins, especially on emergencies.

  4. 4

    Get awarded & confirmed

If your offer is selected, you are notified immediately and the job moves to your active bookings. No back-and-forth negotiation.

  5. 5

    Get paid on the platform

Payment is handled through Global Coach — no chasing invoices. Funds and paperwork are managed in one place.

Emergency track — minutes, not days

The same five steps, compressed for roadside breakdowns and last-minute changes.

Raise the alert

A coach breaks down. The operator opens an Urgent request with pickup, destination, pax and 'needed-by' time.

Live countdown

A countdown to the needed-by time is shown to every matched operator. Speed is everything — the first viable offer usually wins.

Nearest operators reply

Distance-based alerting puts the request in front of operators who can actually reach the pickup point in time.

Award & dispatch

One click confirms the replacement. The operator gets the job sheet; the stranded group is on its way.

Planned tender vs. emergency replacement

Why this beats WhatsApp & phone trees

Verified operators only

Every company is document-checked before it can bid. No mystery sub-contractors on the day.

Private, comparable offers

All offers in one view, private to you. No price leakage, no playing operators against each other by hand.

Speed on emergencies

Distance-based alerting + live countdown means the right coach is found in minutes, not hours.

Paperwork handled

Invoices, VAT and payment records are generated automatically for both sides.

Full audit trail

Every request, offer and award is logged. You can prove who said what and when.

One place, not ten chats

Stop juggling WhatsApp groups, emails and missed calls. Everything lives in your dashboard.

Frequently asked questions

Do I pay anything to post a request?

No. Posting tenders and emergency requests is free for tour operators. Global Coach earns a service fee only when a job is awarded and paid through the platform.

How are bus companies verified?

Every company submits registration, fleet and insurance details. Our team verifies documents and marks the profile as Verified before it can receive requests. You can filter offers to Verified operators only.

Can operators see each other's offers?

No. Offers are private to the buyer only. Operators never see competing prices, which keeps the market fair and prices honest.

How fast is the emergency flow?

Urgent requests are broadcast instantly to matched operators with a live countdown. In practice the first viable offer often lands within minutes.

What vehicle types are supported?

From 8-seat vans and minibuses up to 55-seat coaches, large coaches and double-deckers. You specify the class in each request and operators reply with the exact vehicle.

Which regions does the network cover?

The platform operates across Europe, with the densest network in and around Paris, London, Berlin, Milan, Rome, Madrid and Vienna — where most tenders and emergencies are resolved fastest.

How does payment work?

Deposit or full payment is settled through the platform once an offer is awarded. VAT-compliant invoices are generated for both sides automatically. (Online payments arrive in a later release — until then awards are confirmed manually.)

Ready to try it with a real group?

Registration is free. Tour operators can post a tender today; bus companies can join the network and start receiving matched requests.
